Job Description

ARM Management:

-        Manage a team of Assistant Relationship Managers (ARMs) to provide administrative and client service support to Relationship Managers servicing Private Banking clients.

-        Respond to client enquiries and instructions, ensuring timely resolution of issues and requests.

-        Ensure adherence to internal and external regulations and policies at all times.

-        Provide training, mentorship, and guidance to ARMs to ensure they are competent in carrying out their duties.

-        Ensure adequate team staffing to meet fluctuations in work volume, leave coverage, and work emergencies.

-        Enhance staff morale and career development through active engagement and review of training needs.

-        Calibrate performance evaluations and make promotion recommendations.

Team Administrative Support:

-        Provide support to Market Head / Team Head for pipeline management.

-        Act as the single point of contact representing the front office to coordinate with stakeholders on all dissemination-related activities.

-        Proactively review and enhance processing workflows to improve operational efficiency and service quality.

-        Investigate and resolve queries, ensuring proper closure on issues raised.

-        Consolidate and prepare management reports for Front Office team and Business Managers in a timely manner.

-        Provide guidance to the team on compliance with Operational Risk framework, policies, procedures, and guidelines.

-        Coordinate and support Front Office activities (e.g., Business Continuity, reporting, and administrative matters).

-        Handle administrative duties including scheduling appointments, preparing correspondence, making travel arrangements, arranging meetings, and producing presentation materials.

-        Maintain proper record-keeping for all team-related matters.

-        Follow up on account reviews, portfolio reviews, credit reviews, outstanding documentation (e.g., documentation discrepancies, W8 refresh, CRS, FATCA remediation, tax declaration, credit documentation, mandatory documentation remediation), daily downgrade reports, monthly mismatch reports, and other remediation exercises.

-        Facilitate front office audit readiness by assisting in pre-audit health checks and ensuring audit observations are rectified within stipulated timeframes.

-        Coordinate with Product Groups, Operations, and other functional areas as necessary.

Requirements and Qualifications

-        Bachelor's degree or diploma from a reputable institution.

-        Minimum 8 years of relevant experience in client servicing, operations, or sales support within financial institutions.

-        Strong understanding of financial products and services.

-        Excellent interpersonal, communication, and client interfacing skills.

-        Prior experience mentoring and coaching team members.

-        Future-oriented mindset with the ability to innovate and adapt to changes.

-        Strong understanding of team interdependencies and ability to collaborate effectively across departments.

-        Ability to thrive in a fast-paced environment while remaining empathetic, passionate, and resilient.

-        Relevant HKMA/SFC license (e.g., Type 1 and/or Type 4) is required.

-        Candidates with HKIB Enhanced Competency Framework (ECF) professional qualification are preferred.

-        Note: This is an in-scope position under the HKMA's Mandatory Reference Checking Scheme (MRC Scheme), and mandatory reference checks will be conducted for the seven years prior to application.
